Staff Officer | BAE Systems Information Technology | Las Cruces, NM
The candidate will:
- Support and assist the Customer and his staff; to include subordinate
branches, in the management and administration of daily Front Office
business activities.
- Coordinate and review all staff and management activities for the
organization as directed by the division chief. These functions include
training/travel budgets, supply orders, suspense system, space planning,
personnel management, record management and logistics support.
- Review outgoing correspondence for executive?s approval and alerts
writers to any conflict with the file or departure from policies or
executive?s viewpoints; provides assistance to resolve any problems.
- Advise personnel in subordinate branches on new procedures; requests
information needed from the subordinate office(s) for periodic or
special conferences, reports, inquiries, etc., with division chief?s
approval.
- Assist in developing, coordinating, maintaining, and publishing
internal/external communications to include agendas, contact lists,
announcements, office-level documents, educational and marketing
materials, etc.
- Assist in managing assigned taskers, ensuring that all requirements
are met and fully addressed, ensuring that Front Office Executive
leadership has reviewed and approved the tasker response prior to
release and/or submission prior to the suspense date and time;
- Under Customer direction, prepare special or one-time reports,
summaries, or replies to inquires relating to the mission; selecting
relevant information from a variety of sources such as reports,
documents, correspondence, and other offices, etc.
- Prepare Action Items and Notes commitments made by executives during
meetings and take the appropriate action or arrange for staff?s
implementation.
- Anticipate and prepare materials needed for conference,
correspondence, appointments, meeting, telephone calls, etc., and
informs senior management on matters to be considered.
- Summarize the content of incoming materials, specially gathered
information, or meetings to assist executives; coordinate the new
information with background office sources; draws attention to important
issues, and initiates actions as directed.
- Arrange for staff members to represent organization at conferences and
meetings, establishes appointment priorities, or reschedules or refuses
appointments or invitations.
- Assist the Customer with reviewing and setting the overall objectives
of the work that needs to be accomplished. These duties include
providing input to the development of work deadlines, strategies for
executing Office tasks, and information on completed tasks.
- Work with security to pass security clearances when required by the
Customer.
- Review and coordinate with Customer managers in regards to office
training plan to ensure employees are in compliance with Customer
mandatory training.
Required
- 11+ Years with HS or 7+ Years with AA or 5+ Years with BS or 2+ Years
with MS or 0+ Years with PhD
- Expertise of requirements needed to assist the Customer in the
management and administration of daily Front Office business activities.
- Making arrangements for high level executive level meetings and
special events/symposiums.
- Communicate/coordinate staff and office actions with individuals at
all levels.
- Excellent customer service skills.
- Excellent oral & written communication skills.
- Drafting Correspondence for Signature.
- Ability to respond efficiently to requests for information.
- Demonstrate creativity in performing duties.
- Experience with coordinating classified building access for visitors.
